A normalized grade is a value drawn from a fixed vocabulary, and it is what makes one record comparable to another. It is also lossy, and the loss falls on the specific defect that distinguishes this object from other examples of the same model. A grade states which bucket the seller selected.
A narrative note carries what a vocabulary cannot, such as a shutter that hangs open at slow speeds. It is not comparable across records, so a record holding only notes describes the object and does not sort alongside others.
Held together, each supplies what the other omits, and a third property appears: a reader can see when the grade and the notes disagree. That disagreement is visible only because both are present, and it identifies a record that needs a person to look at it.

Which form reaches a destination

Condition is a first-class field in current commerce interfaces. Product specifications expose condition alongside price, availability, media, and seller links, attached to identified products and variants.1 Page vocabularies represent it the same way, as a property of the thing described rather than as prose inside a paragraph.2
Two consequences follow. Condition stated only inside a description paragraph is not present in the structured value a machine reads, whatever a person would take from the page. And the value entered in the structured field is the value that travels, so the mapping between an internal grade and each destination’s vocabulary determines what a destination receives.

Evidence of this object, not this model

Every piece of condition evidence is of the object being sold. A stock photograph of the model, a photograph of a different unit, or an image reused across a batch each describe something other than what the buyer receives, and each will be read as describing what is on offer.
- Photograph the defect that was described, alongside the angles that do not show it.
- Where a defect cannot be photographed, record what it is, when it appears, and how it was tested.
- Record who inspected the item and by what method, so the assessment traces to a specific act.
- Make authenticity statements only where a verification took place, and describe the verification rather than stating the conclusion alone.
The fourth item concerns a claim about provenance. Where a verification step exists, describing it lets a reader weigh the claim. Where none took place, describing the observable evidence and stopping there records what is known.

An assessment is a dated observation

Objects change in storage. Batteries leak, rubber perishes, edges are knocked in transit, and a returned item can come back different from how it left. An assessment written eighteen months ago describes the item as it was then, and the record states so only if the date is attached to the assessment rather than to the listing.
Attaching the date does two things. A reader can weigh the claim, since a recent inspection of a defect and an old one are different statements. And stock needing re-inspection can be found by querying the dates rather than by reading every record. For items that have moved, been returned, or been handled, a re-inspection carrying a new date replaces the previous observation.

Provenance as dated statements

Provenance is recorded as a sequence of statements with dates and sources. Where the object came from, what documentation accompanied it, what was done to it while held, and what was reported as against what was verified are four kinds of statement, and combining them into a paragraph removes the distinction between them.
- Record acquisition with a date and a source description that does not identify a private individual.
- Note any accompanying documentation and where it is now held.
- Log servicing, cleaning, or repair performed or commissioned, with dates.
- Mark every statement as verified or reported, and leave a reported statement marked as reported.

The fourth row is the one that changes when a description is shortened. A hedge trimmed for length turns a reported statement into a stated one, and the column is what a later reader checks against.
Reported history is copied between systems, and hedging language is often removed at each copy. Marking the distinction inside the record rather than in the phrasing is what keeps it through the copying.

Common questions
What if internal grades do not map cleanly onto a channel’s options?
Record which way the mapping rounds and apply it consistently, then put the specifics in the narrative note. An undocumented mapping produces different answers for similar items across listings.
Can a photo be reused across items of the same model?
No. Every image in a unique-item record is of that object. A shared image describes something the buyer will not receive and will be read as describing what is on offer.
How is a defect that cannot be photographed described?
